User Management for PCSE Online

 

Access to PCSE Online is controlled by users at the practice who have user management roles. A user management role cannot register performers for PCSE Online, click here to find out how to register as a performer. 

There are four user management roles in PCSE Online that allow organisations to manage user access, permissions and roles for our online services - GP Payments and Pensions, Performers Lists, Ophthalmic Payments and Supplies and Medical Records

These roles are GPP Practice User Administrator, PL Organisation Administrator, Opto User Management (Organisation) and Main Contact. 

If you have one of these roles, you are responsible for the user management of PCSE Online access within your organisation. You can create new users, deactivate existing users and amend existing user permissions and personal details. Please click here to read more about the User Administrator roles and responsibilities.

If you are a primary care colleague who is unable to access PCSE Online, please speak to your organisation's main contact or user administrator and ask them to provide you with the appropriate access. PCSE can assist with the set up of the user management roles if you have no main contact or user administrator in place.

PCSE

GP Payments and Pensions Service

For the user management of roles for GP Payments and Pensions service, you'll need a GPP Practice User Administrator. The role can assign other GPP User Admins for your practice, and each practice can have a maximum of four user admins.

We would recommend that if a colleague with this role is leaving, that you assign their role to another member of your team, for continuity of access and user management.

 

If your practice has no user administrator, please follow the process below.

The form will need to be authorised by one of your organisation's approvers:

  • Lead GP/GP Partner
  • Company Director
  • Caldicott Guardian

Complete both parts of the form and return to pcse.portalenquiries@nhs.net

Once the GPPP Practice User Administrator is set up, they will be able to set up other GPPP Practice User Admins and assign the roles below:

  • View Claims
  • Claims Admin
  • Statements
  • Practice Estimates and salary change
  • Locum Applications
  • AVCs
  • Joiners and Leavers
  • Special Leavers

PCN & ICB user management

The process for adding new PCN users is managed by the PCN organisation themselves and they will need to get their PCN user admin to manage access using the user management tab or if they don't have a PCN user admin they will need to fill out the form and request for this to be approved and submitted to PCSE by a member of their ICB who is listed as an approver on the NHSE AEL (Authorised Email List).

PCSE

Performer Management

The role required for user management of permissions and roles related to Performers and performer list activities is PL Organisation Administrator

For the user management of roles for GP Payments and Pensions service, you'll need a PL Organisation Administrator. The role can assign other PL Admins for your practice, and each practice can have a maximum of four user admins.

We would recommend that if a colleague with this role is leaving, that you assign their role to another member of your team, for continuity of access and user management.

If your practice has no PL organisation administrator, please email pcse.portalenquiries@nhs.net, with your practice details and name and email address of the person you'd like to have this role. 

Once the PL Organisation Administrator is set up, they can set up other PL organisation admins and assign the PL practice manager role.

PCSE

Ophthalmic Payments

The role responsible for user management of permissions and roles related to Ophthalmic Payments is User Management (Organisation)

The User Management (Organisation) role will be able to set up other user admins, to a maximum of four per practice and assign the roles below:

  • GOS Claim Manager
  • GOS Performer
  • GOS Read Only
  • OPH Statement View
  • OPH Head Office
  • Contract Signatory

If you don't currently have this role set up at your practice, please send an email to pcse.portalenquiries@nhs.net, with the name and email address of the colleague for the User Management (Organisation) role.

PCSE

Supplies and Medical Records

The Main Contact role manages the permissions and roles for the Medical records service for GP practices and the Supplies service for all primary care organisations.  

If your organisation does not have a main contact or needs to change their main contact, please send an email to pcse.portalenquiries@nhs.net with your organisation code, name and email address of the new main contact. An existing main contact cannot assign the role to another user. 

Please note, you can only have one main contact per organisation. 

Once set up, the main contact can assign the following roles, dependant on the service:

  • Practice Order Entry Clerk
  • Practice Records Movement Admin

PCSE

Performer List service

Any GP, optometrist or dentist offering primary care in an NHS setting is required to be registered on the Performers List for England. There are three performers lists operated by NHS England – one for each profession. All Performers List processes are now managed through PCSE Online. Please note, GPs, optometrists and dentists working in secondary care are not required to be registered on the Performers List for England.

To register with PCSE Online to submit a Pharmacy Market Administration application or notification, click here or email pcse.marketentry@nhs.net with the following information:

  • Legal Entity (Sole Trader, Partnership, Body Corp, Dispensing GP)
  • Applicant Name
  • Name of Individual requesting User Admin access
  • Head Office/Correspondence Address
  • Companies House number
  • Contact Number
  • Email Address
